We’re looking for a Parts Logistics Coordinator who takes ownership of that process. ---------------------------------------- What This Role Really Is This is a combination of shipping, receiving, warehouse coordination, and inventory administration. You’ll manage the movement of parts and materials from the time they arrive until they’re prepared and shipped to their destination. That means unloading and inspecting deliveries, verifying packing slips, updating inventory records, preparing shipments, coordinating carrier pickups, monitoring orders, and maintaining organized staging areas. This is not exclusively a desk job, nor is it strictly a warehouse labor position. The right candidate will be comfortable moving between physical warehouse activities and detailed computer-based logistics work throughout the day. ---------------------------------------- What You’ll Do Shipping & Order Fulfillment * Prepare outgoing parts and material shipments for customer orders and internal needs * Verify items, quantities, and documentation before shipment * Package, label, and stage materials for carrier pickup * Generate shipping documentation and maintain accurate shipment records * Coordinate pickup schedules with freight carriers and shipping providers * Provide tracking information and shipment updates as needed * Identify and communicate issues that could delay shipment or order fulfillment Receiving & Material Processing * Unload incoming shipments and verify deliveries against packing slips and supporting documentation * Inspect materials for visible damage, shortages, and discrepancies * Identify and communicate receiving issues promptly * Ensure received materials are properly labeled, stored, or prepared for further processing * Update inventory and receiving records electronically * Generate receiving reports and process associated paperwork Order Coordination & Material Staging * Stage parts and materials for upcoming shipments * Monitor expected delivery dates and communicate changes * Ensure packaging materials and shipping supplies are available * Coordinate priorities to support timely order processing * Follow up on outstanding materials and shipment-related issues * Maintain an organized and efficient material staging system Inventory Control & System Accuracy * Maintain accurate inventory records through timely system transactions * Establish and maintain inventory bin locations as needed * Process inventory transfers within Jobscope * Identify discrepancies between physical materials and system records * Support accurate stock organization and inventory visibility Documentation & Administrative Support * Scan job files and supporting documentation to maintain electronic records * Maintain organized shipping, receiving, and order documentation * Prepare completed paper job files for Parts or GED preferred * Additional education or training in logistics, supply chain, inventory management, or warehousing is a plus * Equivalent relevant work experience will be considered Experience * Previous experience in shipping, receiving, warehouse operations, logistics coordination, or inventory control preferred * Experience preparing shipments, processing receiving documentation, and coordinating carrier pickups preferred * Experience with inventory management systems, warehouse management systems, or ERP software strongly valued * Jobscope experience is a plus but not required * Experience working with industrial parts, manufacturing materials, or service parts is a plus Technical Skills * Ability to accurately verify part numbers, quantities, packing slips, and shipping documents * Basic inventory control and stock-location practices * Computer proficiency, including data entry and electronic recordkeeping * Working knowledge of Microsoft Excel * Ability to learn and documentation, and order workflows * Learn how parts are received, inspected, labeled, stored, staged, and shipped * Begin completing receiving and shipping activities with training and guidance * Understand expectations for safety, organization, accuracy, and communication Days 31–60 * Independently complete routine receiving and shipping transactions * Accurately verify incoming deliveries against documentation * Prepare outgoing shipments with correct packaging, labeling, and paperwork * Maintain organized staging areas and monitor expected delivery dates * Process inventory transactions with minimal corrections * Communicate shipment discrepancies, delays, and inventory concerns promptly Days 61–90 * Reliably manage assigned daily shipping, receiving, and order coordination responsibilities * Maintain accurate inventory and shipment records * Anticipate upcoming shipments and prepare materials accordingly * Coordinate carrier pickups and communicate tracking Work Environment This position is primarily performed in a parts, warehouse, and industrial service environment with regular computer-based administrative responsibilities.
